Exhibitor Registration
By the end of August, exhibitor registration information will be sent to your main booth contact to complete on behalf of your team. If you need the information resent, please contact Angela Kermes.
Exhibitor Badge Pickup
Badges must be picked up prior to entering the exhibit hall, including during exhibit installation. Badge pickup hours are as follows:
- Friday, October 25: 5:00 PM – 8:00 PM
- Saturday, October 26: 7:00 AM – 7:30 PM
Booth Set-Up & Decoration
The official decorator for ACVP Annual Meeting 2025 is Alliance.
Each booth includes:
- One 6-foot skirted table
- Two chairs
- One wastebasket
Alliance is your primary contact for booth furnishing orders, shipping, freight, drayage, carpeting, and electrical services. While the exhibit hall is carpeted, you may order additional floor coverings if desired.

Shipping Deadlines
- Warehouse Opens for Deliveries: Thursday, September 25, 2025
- Final Day for Warehouse Delivery (No Late Fee): Monday, October 20, 2025
- Late Deliveries (Late Fee Applies): After October 20, 2025

Lead Retrieval
To order lead retrieval licenses, please email Angela Kermes. All services are managed by E&G. Note: Scanning devices will not be provided this year. Instead, licenses for the qConnection app (for use on personal devices) are available and can also be purchased onsite.
Catering
To provide food or beverages at your booth, please email Angela Kermes to request the catering order form and further details.
Wi-Fi & Internet
Complimentary Wi-Fi will be available to all attendees; however, we do not recommend relying on it for booth operations. To order a dedicated internet connection, please use the Sheraton New Orleans link via Alliance Nationwide Exposition.
Audio/Visual
All A/V needs for your booth or sponsored activities must be ordered through Encore.
