Annual Meeting Education Planning

**2026 workshop and education session information and proposals are being accepted now through March 15. Submitters will be notified of final programming decisions in early May.

As the ACVP Annual Meeting Committee works to finalize the educational offerings and events for the November 14-17, 2026, Annual Meeting in Indianapolis, any individuals or groups within the veterinary pathology community interested in developing and leading an educational session for that meeting are asked to provide information about the proposed session via the form below by March 15.

All groups that would like to plan, manage, and moderate a pre-meeting workshop or educational session, including individuals invited by the Annual Meeting Committee to chair a concurrent session or already in communication with the Committee about a possible session or workshop, are asked to complete and submit the form below by March 15.

Proposed sessions, workshops, and activities will be considered collectively, at the Annual Meeting Committee’s spring meeting, to ensure a balance of educational content and networking opportunities and best use of available resources (including meeting space, scheduling demands, and budgeted expenditures). Final program determinations will be sent in May. Sessions or workshops requiring support beyond the standard levels noted within the form will be forwarded to the ACVP Board for consideration and may take longer to be finalized.

All individuals interested in proposing a session must review the 2026 Session and Workshop Chair Guidelines before submitting a proposal. By submitting a proposal you are attesting that you have read, understand, and agree to the terms detailed within the Guidelines, including session chair responsibilities, deadlines, and speaker support details.

Please review the form in its entirety before beginning so that all required information can be entered at the time of submission, in one sitting. The submitter will be considered the primary point of contact for the activity. The form will cover the proposed activity, budget requests, space requirements, and promotion.

Speakers and Speaker Support

ACVP will cover travel costs and one night of hotel stay for one speaker per hour of educational content. Workshop speakers will be registered for the workshop at no cost to them. Member Annual Meeting speakers must register for the Annual Meeting at their own expense. Non-member Annual Meeting speakers will be offered complimentary Annual Meeting registration. Travel support for speakers from outside North America must be individually approved by the Board of Directors via a request from the Annual Meeting Committee with complete justification for the additional expense. ACVP does not offer speaker honoraria or pay speaker fees and does not cover travel or registration costs for session chairs. Any request for extraordinary support (an exception to ACVP policy) must be specified within this form.

Understanding the ACVP standard speaker support policy detailed above, if extraordinary speaker support is requested detail the request including specific costs and justification for the request here. Audio Visual and Room Set Up

ACVP will allocate educational space based on the planners’ estimated audience and will provide standard education AV and room setup for all approved sessions. Standard education AV includes a stage (ceiling height permitting), speakers’ table with chairs and a microphone, podium with a microphone and presentation laptop, screen, speakers, and audience microphone. Space permitting, workshops are set up in classroom style. All other education rooms are usually set in theater style unless otherwise needed to accommodate other sessions in event during the meeting. Special set ups may incur a facilities fee and may not be feasible depending on other meeting variables. All concerns about room set up should be noted below.

Understanding that all meeting rooms are set to be used for multiple sessions and events throughout the meeting and that setup will be determined by ACVP, if a special set up is requested, detail that request here.

Food and Beverage

ACVP provides coffee breaks within each ACVP-planned pre-meeting workshop. During the Annual Meeting, coffee breaks are set up for all attendees in the Exhibit Hall during scheduled morning education breaks. No additional food or beverage will be provided for individual education sessions.

Session Promotion

All Annual Meeting educational offerings will be promoted via the ACVP website, member newsletters, and targeted emails, coordinated by ACVP staff. Session organizers are required to provide all requested information by stated deadlines to facilitate that promotion as well as communication with invited speakers and potential registrants. Planners of approved education and activities are encouraged to supplement ACVP-provided promotion across your professional networks and via social media posts coordinated with staff and the Media and Communications Committee. ACVP does not provide lists or contact information for registered attendees or members for promotional purposes.

Commercial Support

All financial support for the Annual Meting or education session or activities within the meeting from external sources (commercial support) must be coordinated through ACVP leadership and staff. Leads on commercial entities potentially interested in supporting this activity should be noted here, with contact name and email information included.
